At Moore Cleaning Services we take personal information and privacy seriously.  Here we outline a brief description of how we use your data.

About us

Moore Cleaning Services (described as, “us”, “our” or “we” throughout this document) are located at Unit E9, Calmount Park, Ballymount, Dublin 12.  We act as data controller and data processor regarding the personal information that we process.  If you have any questions regarding this privacy notice or how we handle your personal information please contact Lisa Hendrick, Finance Manager on 01-4564366.

This notice refers to all personal data relating to you that we process.  It tells you the types of personal information we collect and why we need it, how we use it, and what protections are in place to keep your personal information secure.  This notice also sets out your rights regarding your personal information.

What is personal information or personal data?

Your personal information or data is anything about you by which you can be identified.

What personal information do we process and where does it come from?

Moore Cleaning Services collects and uses personal information that you provide to us as part of our business-to-business and customer relationship, for example: name; phone contact; email; address and bank details where payment comes from or goes to.  We primarily use this information because you are a customer and to manage our business.  We may receive information from third parties or from publicly available sources such as your website, mailing lists, or business groups etc. We may also monitor and record details for legitimate business purposes and we may process personal information about you in this business context.

What is the purpose and the legal basis for using your personal information?

In most cases the processing is necessary for the performance of a contract to which the data subject is party, or to take steps at the request of the data subject prior to entering a contract, including a quote that is not taken up. We also rely on the legitimate interest basis as a reason for processing your information.

Change of purpose to use your personal information.

We will only use your personal information for the purposes for which we collected it, and we may occasionally need to use it for another purpose that is compatible with the original purpose.  However, if we need to use it for any unrelated purpose we will notify you in advance and explain to you why this is necessary.

What is the legal basis for processing your “special category” personal information?

We do not process special category personal information.

Consent: Do we need your consent?  When might we want your consent?  Can you withdraw your consent?

Moore Cleaning Services generally do not need your consent as already explained above because you are a customer or potential customer and we only use your data in the context of our legitimate business relationship or contract.  In the rare occasion that you might give consent you can withdraw it.

Who do we share your personal information with?

  • We share your information with Moore Cleaning Services staff where it is relevant to their job e.g. supervisors, Contract Managers, Finance Manager etc.
  • Third parties e.g. outsourced financial and legal services for the running of our business.
  • Government agencies e.g. Revenue Commissioners etc.

What protections are in place regarding third parties?

We do not permit our third-party service providers to use your personal information for their own purposes.  They may only process your data for specified purposes according to our instructions.

We have contracts in place and we request that they keep your data safe.

Transfers outside of the European Economic Area?

There are certain circumstances where we may store information in the “Cloud” or transfer data.  We will ensure that appropriate measures are in place to protect your personal data and to comply with our obligations under data protection law.  We may enter into contracts in the form approved by the European Commission, or we ensure that the company to which we transfer your personal data has agreed to abide by an approved transfer mechanism such as the EU-US Privacy Shield framework. 

How do we secure your personal information?

We have security measures in place to prevent your personal information from being lost, stolen, used in an unauthorised way, or inappropriately altered or disclosed.  We will advise you and the regulator of any suspected data security breach in accordance with our legal obligations.

How long do we retain your personal information?

We will retain your personal information only for as long as is reasonably necessary to satisfy the purposes for which it was collected, and for the purposes of satisfying any legal or accounting requirements.  When you are no longer a customer, we will retain and subsequently destroy your personal information as appropriate.  If we quoted for business and it was not taken up, we will delete your data after 12 months.

What are your responsibilities?

Please inform us if your personal information changes.  It is important that personal information we hold about you is accurate and current.

What are your individual rights?

You have certain rights regarding your data and these are summarised below:

The right to be informed about your data, this policy informs you.

The right of access to your data: you can obtain a copy.

The right to rectification: correct your data if it is wrong.

The right to erasure (forgotten): to have your data deleted.

The right to portability of your data: transfer it in a commonly used software format.

The right to object to the processing of your data in certain circumstances.

The right not to be subject to automated decision making including profiling: you can request human intervention.
